Technical Deployment includes the distribution of new devices across RWJBarnabas Health facilities that will support Epic. This includes upgraded monitors, scanners, and more. After deployment, all devices are configured and texted prior to Go-Live.
Exposing Credential Trainers to Epic in order for them to be able to train beginning users at the client site. Covers basic workflows and tasks that will be performed but does not including building or configuring the system.
Testing that all hardware and devices are able to access Epic and be used correctly based on purpose/workflow.
A standard part of Epic’s end user training program in which users are trained by other Epic-certified users from their specialty, providing workflow-based training specific to that specialty’s workflow.
The purpose of the Go-Live Readiness Assessment (GLRA) is to review all areas of the Epic project (both for the project team and operational readiness) to understand the status of each component of the project and identify areas where leadership intervention is needed.
Training super users on RWJBH’s Epic build and configuration. Super Users will serve as your first line of defense for end-user at-the-elbow support at go-live, and are fundamental to successful end-user adoption of the system. Super User training will prepare identified Super Users to support end users both in classroom training pre-live, and as at-the-elbow support post-live.
All providers and clinical care team members will complete Epic training ahead of Go-Live. Training includes virtual instructor led training (VILT) and guided, open labs (LAB). Training requirements are set by how the end user will interact with Epic, such as scheduling appointments, billing, placing orders and reconciling a patient’s medications.

Credentialed trainers will deliver classroom training following the curriculum designed during the Workflow Walkthrough phase, to introduce your staff to Epic workflows and begin to prepare them for the transition to Epic. End users will apply classroom topics to training exercises in a training environment to practice the workflows they will use post-live.
Patient appointments and cases scheduled on or after Epic Go-Live are manually converted from their previous electronic healthcare record to Epic.

A test of your hardware and system configuration that occurs just before Go-Live. Includes two parts: Technical and Workflow. Teams will walk through simulated patient visits in Epic with the goal of uncovering potential issues ahead of Go-Live.
Labs for all providers designed to assist with specific user setting in their Epic profile. Labs enable providers to personalize their settings without compromising standardization.
Refresher training for the Super Users before each Go-Live.
Epic is live! Our new electronic healthcare record is now in use by the locations associated with this Wave.
Onsite and remote support available during the Go-Live period to help with any issues errors that may be faced at RWJBarnabas Health locations within this wave.
Continuing support including training users, resolving issues and maintaining the system during this period to ensure its increasing and continuing success.
